Hamelin London Marathon 2027 Charity Place Terms & Conditions

 

Thank you for applying to run the 2027 TCS London Marathon as part of #TeamHamelin.

By applying for one of Hamelin's charity places, you agree to the following Terms & Conditions.

 

1. About the event

The TCS London Marathon is organised by London Marathon Events Ltd, not Hamelin.

All participants must also agree to and comply with the Event Organiser's Terms & Conditions and any rules, deadlines and instructions issued by them.

Hamelin accepts no responsibility for the organisation, delivery or cancellation of the event.

 

2. Applying for a Hamelin charity place

Applications for a Hamelin charity place must be submitted by 4pm on Monday 17 August 2026.

Applying for a charity place does not guarantee you a place. As Hamelin receives more applications than places available, each application will be reviewed individually. We may invite applicants to an introductory phone or video call where appropriate to get to know you, answer any questions you may have and discuss your fundraising plans.

Places are allocated at Hamelin's discretion, and we are not obliged to provide feedback to unsuccessful applicants. We aim to notify all applicants of the outcome of their application by Monday 31 August 2026.

Applicants must be aged 18 or over on the date of the event.

 

3. Accepting your charity place

If your application is successful, you will receive a charity place offer by email.

To secure your place, you must:
•    Pay the non-refundable registration fee of £100 within seven working days of receiving your charity place offer email. Details of how to make your payment will be included in the offer email.
•    Once your registration fee has been received, Hamelin will send you an email from TCS London Marathon / Let's Do This asking you to complete your official online console. You must complete this within two weeks of receiving the email.
•    We may contact you at least once by email and telephone if your console has not been completed.
Failure to complete any of these steps may result in your place being withdrawn and offered to another applicant.
 

 

4. Your fundraising commitment

As a Hamelin charity place runner, you agree to:

  • Raise a minimum of £2,200 (excluding Gift Aid and the registration fee).
  • Raise as much above the minimum fundraising target as possible to help support Hamelin's work.
  • Raise or personally donate at least:
    • £750 by 31 December 2026
    • £1,500 by 28 February 2027
    • £2,200 by 6 June 2027
  • Set up an online fundraising page and actively fundraise throughout your marathon journey.
  • Provide a fundraising plan if requested by the Hamelin Fundraising Team.
  • Keep in regular contact with the Hamelin fundraising team and respond to reasonable communications regarding your fundraising progress.

Please encourage your supporters to Gift Aid their donations wherever possible. Gift Aid allows Hamelin to claim an extra 25p for every £1 donated by eligible UK taxpayers, at no additional cost to them.

 

5. Fundraising

We encourage runners to fundraise in safe, legal and ethical ways.

You agree to:

  • Comply with all relevant fundraising laws and guidance.
  • Represent Hamelin positively at all times.
  • Contact us if you are unsure whether a fundraising activity is appropriate.

Any sponsorship collected on behalf of Hamelin cannot be transferred to another charity.

 

6. Donations and payments

All money raised in connection with the TCS London Marathon for Hamelin is held on trust for the charity. By accepting a Hamelin charity place, you agree to ensure that all funds raised are paid to Hamelin.

Donations can be made by:

  • An approved online fundraising platform (such as Enthuse or JustGiving).
  • Bank transfer using the details provided by Hamelin.
  • Card payment or cheque, where agreed with the Hamelin Fundraising Team.

If you are awarded a Hamelin charity place:

  • The minimum fundraising target must be received by Hamelin no later than six weeks after the event.
  • If your minimum fundraising target has not been met by the fundraising deadline, Hamelin may ask you to pay the outstanding balance. Where appropriate, we will always discuss this with you first and may agree a payment plan in exceptional circumstances.
  • If you withdraw from the event, any funds already raised will remain with Hamelin and cannot be refunded to donors.
  • You must make it clear to donors that all money raised is a donation to Hamelin and will not be returned if you withdraw from or are unable to complete the event.
  • Where possible, you should encourage supporters to donate through Hamelin's recommended online fundraising platform to help maximise Gift Aid and reduce administration.

If you collect any offline sponsorship, please provide the relevant sponsorship details to Hamelin as soon as possible after the event to allow Gift Aid to be claimed where eligible.

 

7. If your circumstances change

We understand that injuries, illness and unexpected life events can sometimes mean you're no longer able to take part.

If you are no longer able to take part, please reach out to the Hamelin team on fundraising@hamelin.org.uk as soon as possible.

While we will always try to help where possible, we cannot guarantee that places can be deferred to a future London Marathon.

If you wish to defer your charity place to the following year's London Marathon, please contact the Hamelin Fundraising Team in writing as soon as possible. All deferral requests are considered on a case-by-case basis and are subject to availability. A deferral cannot be guaranteed.

If your request is approved:

  • Your registration fee is non-refundable. A new registration fee for the deferred event will be payable.
  • You must have reached your fundraising target required by the time of the deferral request.
  • Any eligible fundraising already received by Hamelin may be carried over to your deferred place.
  • If the minimum fundraising target has increased for the deferred event, you agree to meet the new minimum fundraising target.
  • You must complete any registration requirements and deadlines for the deferred event.

Hamelin reserves the right to decline a deferral request where the above conditions are not met or where charity places are unavailable.

 

8. Event participation

You take part in the London Marathon entirely at your own risk.

You are responsible for ensuring you are medically fit to participate and for seeking medical advice if required.

You are responsible for collecting your race pack from the TCS London Marathon Running Show in the week before the race. Please see the race organiser’s website for details.

You agree to follow all instructions issued by London Marathon Events Ltd before and during the event.

 

9. Running for Hamelin

As part of #TeamHamelin, we ask that you:

  • Wear the Hamelin running vest on race day where possible.
  • Conduct yourself respectfully.
  • Help promote Hamelin positively throughout your fundraising journey.

 

10. Photography and publicity

By taking part, you agree that Hamelin may use photographs, videos or stories you provide, or which are taken during the event, to promote our work across our website, social media, newsletters and other marketing materials.

If you would prefer not to be featured, please let us know.

 

11. Data protection

We will use your personal information to administer your participation in the event and to provide you with support before and after race day.

Your information will be processed in accordance with our Privacy Policy.

Where necessary, we may share relevant details with London Marathon Events Ltd solely for the administration of your place.

 

12. Withdrawal of a charity place

Hamelin reserves the right to withdraw a charity place if:

  • registration deadlines are missed;
  • the registration fee is not paid;
  • the participant is no longer eligible to take part;
  • the participant behaves in a way that could bring Hamelin into disrepute; or
  • these Terms & Conditions are breached.

 

13. Changes

Hamelin reserves the right to amend these Terms & Conditions where necessary.

Any significant changes will be communicated to participants.
